Move-In Inspection Process

Document the property's condition before the tenant moves in to protect both parties.

Create the Move-In Checklist

Go to Properties → Unit → Inspections and click "New Move-In Inspection". The checklist auto-populates with room-by-room items based on the unit type.

Walk the Unit Room by Room

Go through each room and rate the condition of walls, flooring, fixtures, appliances, windows, and doors. Options: Good, Fair, Damaged, or N/A.

Add Photos & Notes

Take photos of each room and any existing damage. Add written notes for context. Photos are timestamped and stored with the report.

Have Tenant Review & Sign

Share the completed checklist with the tenant. They review each item, add any comments or disputes, and sign digitally to confirm agreement.

Store the Report

The signed move-in report is automatically stored in the unit's file library. Both PM and tenant can access it anytime.

Move-Out Inspection Process

Compare move-out condition against the original move-in report to determine deposit deductions.

Walk through the same rooms as move-in. Rate current condition and note any new damage beyond normal wear and tear.

Itemize any charges for damage beyond normal wear. Enter repair costs for each item. The system totals deductions against the security deposit.

Generate a security deposit disposition letter showing the original deposit, itemized deductions, and refund amount. Send to the tenant with the required timeline per your state.
